Part-time GENERAL RESPONSIBILITIES This position reports to the Events & Box Office Manager as well as the Executive Director and is responsible for assisting with produced shows and rental events at the Palos Verdes Performing Arts (PVPA) Pavilion, Theatre, and Outdoor Amphitheatre.
The Events & Box Office Assistant should be computer-savvy and possess exceptional customer service skills to promote and represent PVPA's shows and rentals.
This is a part-time position - Minimum hours cannot be guaranteed.
Job responsibilities include but are not limited to:
Box Office - Responsible for running the box office and assisting Patrons, House Managers & Volunteers during a production, or rental event.
Conduct in-person ticket sales using Arts People ticketing software.
Maintains outstanding guest service, as per company standards, by ensuring that each patron receives thoughtful attention, kindness, and problem-solving solutions.
Organize and distribute Will-Call tickets.
Assist Volunteers with POS and ticket scanners, as well as concession sales.
Maintains accuracy, honesty, and accountability in all accounting procedures at PVPA.
Answers phones, promptly returns messages pertaining to current event, processes ticket orders, greets patrons, and all other duties as assigned.
Execution of administrative tasks as directed by Management.
Work with the Microsoft Suite, Ajera, and Arts People Software Rentals - Responsible for supervising an event from start to finish, while providing solutions and assisting renters and vendors.
Customer Service:
While interacting with the rental client(s), vendors, and event guests, it is essential to always present yourself as professional, efficient, friendly, and courteous.
Leadership & Communication:
Clear communication is a must.
o Event assistants must be able to direct vendors and facilitate the needs of hired event planners and guests to ensure the overall success of the event.
o Must have the ability to communicate PVPA policies and procedure standards accurately and easily to ensure vendor compliance.
o Must communicate with Management for direction if a major deviation from the approved event diagram is requested.
o Clearly and efficiently communicate with all guests in attendance.
Problem-Solving Skills:
Dealing with potential revisions to the event set up and exhibiting excellent guest relations is part of the job.
Being a diplomatic negotiator with the ability to employ a quick solution is a needed skill.
Attention to Detail:
Event assistants must observe and maintain awareness of the following:
o Timing of vendor load-in and load-out, to coordinate the location, flow, and parking requirements of deliveries.
o Coordinate the hired security personnel arrival time and positioning throughout event.
o Be aware of the client and guest arrival times and general guest traffic flow in accordance with the client approved timeline.
o Possess knowledge of basic catering food standard requirements, kitchen safety, etc.
Stamina:
Requires excellent health and the ability to be on your feet for long periods of time.
o Must be able to move about the facility continuously from the time of load-in, throughout the event, to the lock-up at the event end.
Break times will be provided per the PVPA employee manual.
Reporting:
Punctuality for the event call time is very important.
o Unlocking the building and making sure everything is ready for the start of the rental time-block is imperative.
o Accuracy in documenting the Pre/Post Event Check List forms to ensure the standards of the facility are met.
o Establishing the details of event damage, theft, or accidents by recording and reporting exact details in writing and informing the necessary Management immediately.
Mental and Physical Requirements Ability to analyze and interpret departmental needs and results.
Ability to solve complex problems.
Ability to perform assigned duties under time pressures in an interruptive environment.
Ability to work varied hours/days as business dictates Excellent computer skills - Proficient with MS Office products MS Word, Excel, PowerPoint A broad variety of tasks and deadlines requires an irregular work schedule.
Job Qualifications MUST obtain an ABC approved Responsible Beverage Service (RBS) Certification to serve alcohol in the state of CA.
If hired, PVPA will pay for the certification.
Experience with ticketing operations and events planning.
Commitment and ability to work flexible shifts, including weekends and nights.
Strong written and oral communications skills Strong interpersonal and collaborative skills Must possess the ability to provide exceptional guest service and create an atmosphere that makes our guests want to return.
Must present an image of excitement, enthusiasm, and outgoing personality, while being able to project a professional appearance.
