The Supervisor, Property Management is responsible for developing and maintaining a comprehensive construction and design plan for the Health System's various business entities with emphasis on the Torrance Medical buildings.
This position collaborates with the operations department at Torrance Memorial and with the facilities and engineering departments at Torrance Memorial and Cedars-Sinai and participates in the design, implementation, and maintenance of the Health System's overall construction planning and strategy.
Responsibilities:
In coordination with the VP, directors, department managers and architects, supports the design of new office space for new medical offices Coordinates and complies with local ordinances Develops project budgets for new medical offices, medical office modifications, and renovations In collaboration with administrative team, support leasing activities including but not limited to administering all leases, meeting the needs of tenants, and ensuring compliance with their lease agreements Responds positively and promptly to tenant requests Manages and coordinates day-to-day financial transactions, prepares monthly tenant statements and collects all rents, miscellaneous income, and charges, and determines and executes on a timely basis escalation, reconciliations, and rent collections Processes accounts payable invoices timely and ensures available discounts are applied Accurately and timely communicates owner's needs and requirements and maintains open and regular communication with the owners and their representatives Manages tasks pertaining to department and medical office relocations including managing project/task lists as directed Evaluates capital equipment and project requests, documents the scope of work, collaborates with relevant departments to establish cost estimates, and prepares project package for approval Responsible for contracting and monitoring qualified contractors and tradespeople needed for projects or tenant construction and remodeling and for tracking expenses for projects, office modifications, and office renovations Maintains current certificates of insurance for all contractors and tenants Maintains accurate and up-to-date hard and soft copy files and financial records in the approved format Works with directors/managers on developing furniture needs and specifications for purchasing; coordinates department deliveries to avoid operational disruptions Collaborates with engineering regarding building maintenance, repairs, and emergency needs Initiates and executes day-to-day operations including but not limited to safety, risk management, efficiency, and quality standards.
Contracts for services, including housekeeping/janitorial, window cleaning, landscape maintenance, security, parking, metal refinishing, etc.
Prioritizes multiple projects and complies with complex timelines Other duties as assigned Requirements:
High School Diploma/GED required.
Hospital/Medical Office Building construction and property management strongly preferred Previous commercial property contract management required.
Proficient at developing presentation materials Excellent proof-reading skills and grammar skills Detail-oriented with strong organizational skills to manage multiple properties simultaneously Excellent organizational skills and the ability to manage multiple projects at once Proficient in Microsoft Suite including Excel and Powerpoint Experienced with Visio, Teams and similar software programs - Job Type:
